Privacy policy

How we collect, use and look after your information.

Last updated: 19 October 2026

James Beattie Football Academy (“the academy”, “we”, “us”) runs football coaching, holiday camps and tournaments for children in Eastleigh and across Hampshire. This policy explains what personal information we collect through this website, why we collect it, how we look after it and the rights you have over it. We are the data controller for the information described here. You can contact us about anything in this policy at info@jamesbeattiefootballacademy.com.

What we collect and why

When you send us an enquiry

The contact forms on this website ask for your name, email address, an optional phone number, your child’s age, which programme you are interested in and your message. We use this information to reply to your enquiry, to answer questions about our programmes and, where you ask us to, to tell you about trials, camps and tournaments. We rely on our legitimate interest in responding to people who contact us. If you give us a phone number, we will only use it to get back to you about your enquiry.

When you book a camp or tournament

Bookings and payments are not taken on this website. The “Book now” buttons take you to Cognito Forms, a separate booking service, where you provide the details we need to run the event safely, such as your child’s name, date of birth, any medical conditions or allergies, emergency contact details and consent for photographs. That information is covered by the privacy notice shown on the booking form. We use it to deliver the event you have booked, to keep your child safe while they are with us and to meet our safeguarding responsibilities.

When you email or call us

If you email us or call the number on the Contact page, we keep a record of the conversation so that we can deal with your request and refer back to it if you contact us again.

Information collected automatically

Like most websites, our hosting provider keeps server logs that record the IP address, browser type and pages visited for each request. We use these only to keep the site secure and running properly. We do not currently use analytics or advertising cookies. Our cookie policy explains the cookies the site does use.

Children’s information

Our programmes are for children aged 5 to 13, so much of the information we hold is about children. We only ask for what we need to run sessions safely: the website asks for a child’s age only, and the booking forms ask for the details above. We never ask children to provide their own information through this website, and we expect all enquiries and bookings to be made by a parent or guardian. Photographs of children are only taken and published with the consent given at booking, and we never publish a child’s full name alongside their photo. You can withdraw photo consent at any time by emailing us.

Who we share information with

We do not sell personal information, and we do not share it with anyone for marketing. We use a small number of trusted services to run the website and the academy, and they only process information on our instructions:

  • Hostinger, which hosts this website and stores form submissions.
  • Postmark, which delivers the email notifications we receive when you submit a form.
  • Cognito Forms, which handles bookings and payments for camps and tournaments.
  • Cloudflare, which may be used to protect our forms from spam.

We will also share information where the law requires it, for example with the police or local authority in connection with a safeguarding concern.

How long we keep information

Website enquiries are kept for up to 12 months after our last contact with you, after which they are deleted from the website and our email. Booking records are kept for the current season and the season after, so that we can deal with any questions about past events, and then deleted. Where we are required to keep information for longer, for example a record relating to a safeguarding matter or an accident, we keep it only for as long as the law or our insurers require.

How we keep information safe

The website uses an encrypted (HTTPS) connection, form submissions are only visible to academy staff who log in to the website, and the services listed above each hold recognised security certifications. Access to booking and medical information is limited to the directors and the coaches running the event concerned.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you or your child;
  • ask us to correct anything that is inaccurate;
  • ask us to delete information we no longer need;
  • ask us to stop using your information in a particular way, or object to us using it at all;
  • withdraw consent where we rely on it, for example for photographs.

To exercise any of these rights, email info@jamesbeattiefootballacademy.com. We will reply within one month. If you are not happy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
